About Sharing Status

Did you Share your new SMS Inbox? A quick look at the Sharing button tells you its status:

  • Private → the Inbox isn't shared → only you can see it! (Simply click Private to start sharing)

  • Shared → displays the number of Groups or individual Users with whom you've already shared → ex. 1 Group

How to Share your Inbox

SwitchBase sharing ensures that your Inbox Group stays focused on the messages they need to act on. There are 3 steps:

  1. Start Sharing
  2. Set the Permission Level
  3. Stop Sharing

1. Start Sharing

  1. To start sharing:

    • A. Click the Share Button, or

      1-Share button

    • B. Click Settings (. . .) → and pick Share inbox

  2. Share an Inbox with Groups and Users — just as you'd share Dashboards, Chats, and Forms:

  • A. Groupsex. Guest Services, Housekeeping, Usher, etc.
  • B. Usersex. Austin, Benji, etc.

2. Set the Permission Level

There are five permission levels to select from:

  • Owner → has full access to view, message, rename, star, and close threads; update settings; share_ and delete the Inbox
  • Inbox Manager → can view, message, close, rename, and star threads; share the Inbox with others
  • Member → can view, message, star, and close threads
  • Viewer → can only view the Inbox
  • Custom → can refine access with hand-selected permissions

  • Currently, SwitchBase is acting as the owner of all Inboxes for security purposes

    • In future, there may be a need for Venue-level Owners
    • In which case, if you create a new Inbox, you'll automatically be its Ownerex. 'Karl'

    • You can reassign Ownership → and Multiple Owners are allowed

    • Warning: If you try and Delete the last Owner, you'll be stopped cold when you try to Save!
      • Assign a new Owner to continue

3. Stop Sharing

To stop sharing an Inbox with either a User or a Group:

  1. Click the Share button

  2. Click X to remove an Individual or a Group altogether

    • Notice that every Inbox Needs an Owner

  3. Click Save Changes


4. Custom Permissions

The standard SwitchBase permission levels (Viewer, Member, Inbox Manager, and Owner) cover almost every scenario. Custom permissions are rarely needed because they usually replicate these pre-sets.

For example:

  • A Member will have both View and Manage Threads checked → ex. Guest Services team members
  • To elevate a Member, like into an Inbox Manager, add both Share and Update Minor Settings → ex. Sierra

About Updating Permissions

The primary reason to use Custom access is to trigger the Update permission. This is an Ownership-level power that allows a user to Edit a Chat's Settings to Rename Threads.

Assigning "Update" without giving the power to "Delete" is ideal for SwitchBase Admins who need to delegate the ability to manage an Inbox's identity without the risk that an Inbox will be deleted accidentally. Remember, Deleting an Inbox removes all of its Threads and any record of it ever existing. Ouch.

To set Custom settings:

  1. Select Custom next to any User or Group → ex. Sierra & Guest Services

  2. Check (or uncheck) the permissions you wish to set (or remove) → ex. View, Manage Threads, Update Minor Settings, & Share
