About our Mobile App
Take your Command Center mobile with the SwitchBase App.

Access all of your Dashboards, Records, Forms, Inbox, and Chats while on the move.




Register, Sign In & Accept
- If you run into difficulties, contact our Support Team
As you first Sign In, you'll be registered seamlessly:
- Open your Mobile App → and click Sign In

Enter your Email → and click Continue

-
Enter the account Code sent to your Email

-
Set your Password → agree/disagree to the terms → and select Continue

-
Enter your phone number → and click Request Code

-
Copy and paste the Code sent to your phone → and click Continue

-
When you are returned to the Welcome Back screen → Sign In normally

Sign In with Google
- SwitchBase has a Sign In with Google option for Android users
- Simply click Continue with Google

Accept & Enter your Organizations
To see how to manage your organizations in SwitchBase Web, read Register, Sign In & Accept in our Help Center.

Click Accept next to any Pending Invitations

After acceptance, press Refresh
-
Click any Name > to open an Organization → ex. Thunderhawk Arena

About your Dashboard Panel
Your Home page lists all of the available Dashboards in an open Organization, and so much more.

- A. Select the Grid icon → to return to your Organizations list
- B. Open your Settings → to view Notification Preferences, Reset Cache, etc.
- C. Manage Notifications link → to Enable or Pause notifications
- D. Switch to any pinned Dashboard in your list → ex. Event Command Center
- E. Jump to any unpinned Dashboard in your org → ex. Asset Management
- F. Pick Home to return to this screen → aka, Dashboard Switcher
- G. Click + Create → to open your Forms and create Records
- H. Open your SMS Inbox → if that has been set up for your organization
- I. Open Chat → includes Group Chats and DMs
Switch Organizations & Dashboards
You may have more than one organization. If so, pick the Home icon, then choose your organization from your list.
Pin your Dashboards
To Pin a Dashboard:
-
Long press a target Dashboard → and tap Pin Dashboard

Unpin by Long pressing the target Dashboard → and tap Unpin Dashboard

- Pins set in your Web app will appear on your phone
View & Filter Dashboards
-
In this sample Dashboard you can see the following Widgets:
-
A. Event Controller → pick any Event to review
-
B. Status Chart → ex. Dispatched, On Scene, Closed
-
C. Issue Type Chart → ex. Department Assigned

Scroll down (and up) to view the Records in the Records Table

Select and Clear Filters
-
Click any of your available filters. For example:
- D. Issue Status filter → ex. Closed
- E. Description filter → ex. spill
- F. Records Table → scroll to view the filtered Records

Select Clear Filters or a filter's X to remove filters → ex. Text, Select, and the Event Controller's selection filter

Create Records in Mobile
-
Click the + Create Record icon
-
Select the Issue Form → notice that Shortcuts appear on a separate screen
-
Pick Create Blank → or click a Shortcut
-
Complete the Form → and tap Create

- A. Issue → ex. Wet Spill
- B. Issue Status → ex. Open
- C. Department → ex. Custodial
- D. Location → ex. Section 207
Quickly find your Issue in Mobile
-
You may have hundreds of Locations and long lists of Issues. To select quickly, simply enter a few letters or numbers →
- w l for "Water Leak"
- Wc for "Wheelchair"
- Fa for "Slip and Fall"
-
Everything matching the letters and numbers will pop up in the blink of an eye. Just pick from the list!



- Shortcuts are customized, pre-populated sub-forms
- Create as many Shortcuts as you like by pre-selecting default Values and hiding unnecessary Fields from a parent form
- Open Shortcuts from your list → _ex. Basketball, Hockey, Wet Spill, Missing Child, and Unlock-Lock Doors

Update Records in Mobile
-
Open any Record from the Records Table to make changes
-
Change the Status → ex. Create, Dispatched, On Scene, Closed

-
Reassign a Record by clicking on it → ex. click Maintenance → and click Close

Update a text field by adding → ex. "Small wash basin leaking"
-
Tap Save to update the text field

-
Add Attachments → ex. either take a picture (by tapping the camera icon) or upload an image or post a file
-
Tap the Delete icon → and remove your attachment

Swipe to return to your Dashboard → < Back on Android
Link & Merge Records
Clicking Link Record will merge data from two or more Records.
Linking and Merging happens in 2 phases:
In this example, we'll attach an Issue Record to a nightly Risk Report Record. The merged data will flood into the targeted Form and its Dashboard/Report.
A. Create the Record(s) to be Merged
To create a Lost Persons Issue to merge in step B:
-
Click +Create and pick the Issue Form
-
Add a Lost Adult Issue →
- Pick your Event → ex. Magic vs. Stars
- Issue → Lost Adult
- Hint: Use Quick Search to locate the Lost Adult option quickly → in a few letters (Los)
- Issue Status → Closed
- Person Reporting → Gamma
- Department → Guest Services
- Description → Elderly man wandered away from his caretaker at halftime near concessions. Blue team jacket and jeans. Grey hair, brown eyes, 5'11"
- Location → ex. Concessions B
- Person Dispatched → ex. Xeno
- Click Create

B. Merge/Link Records into a New Record
Follow along as we:
-
Click the Link Record field in a different Form → ex. Risk Report Form

-
Attach the Record you wish to link and merge

-
See the data from the attached Issue fill in the targeted Form (and its related Dashboard)

- Use Quick Search to find specific Records
- Remember, you can attach Multiple Records to a single Record!
- Use AI in SwitchBase Web to summarize the combined records

Unlink Merged Records
If you accidentally link a record by mistake, it's easily corrected:
-
Remove a Linked Record → by clicking the Link Icon!

If asked → confirm by clicking Unlink
View a Full Merged Record
If you need to review the full context of a Linked Record:
-
Click the expand Arrow icon

You'll be taken to the full Record

Add Events in Mobile
-
Click the + Create Record icon
-
Select Event

-
Pick a Shortcut if it's helpful → ex. Basketball
shortcuts- Shortcuts speed up the creation of recurring events
- Such as → Basketball, Concert, Hockey, or Other events

Fill in your Event Form

- A. Event Type → ex. Basketball
- B. Event Date/Time → set by clicking the Calendar icon
- C. Event Name → ex. Orlando vs. Stars
- D. Event Summary → See AI Generated Post Event Summaries
- E. Command Center Manager's name → ex. Ward
- F. Link Records feature → See Link & Merge Records
- G. Click Create

To enter many events at one time → click Add Another

Update Events in Mobile
Clicking the Event Controller's Expand icon lets you update an Event on the fly!
- Say you want to change a city name Orlando in favor of a team name like Magic
- Or, you need to adjust the date and time of an event. (Hey, mistakes happen . . . )

Click your Event Controller's Expand icon

Change the Date/Time by clicking the Calendar icon
-
Make changes to an Event Name → ex. Stars to All-Stars

Save the changes!

Add Comments to Record Metadata
While optional, the Comments feature is always available on every Form. Each Comment becomes part of the Record Metadata section.
To add a Comment to a Record:
-
Scroll to the bottom of any Record → and enter your Comment
-
Click the Comment button → to save your insights

- Metadata is recorded automatically and includes →
- Created At → ex. May 1, 12:06 PM
- Activity Log → visible in SwitchBase Web
- Comments → as explained above
Notifications → Enable, Pause & Customize
SwitchBase can notify you when:
- Chats are sent
- Records are Created
- Records are Updated
Notifications may arrive rapidly and intensely — and can be a bit overwhelming.

Control the flow of your notifications in SwitchBase settings.
To open the notification Settings:
- Click Manage notifications here → or tap your Settings icon

Customize your Notifications
SwitchBase lets you drill down and precisely customize notifications in four ever-more granular ways:
- All Notifications → Enable or disable all notifications
- Notification Type → Specify notifications for Chat, Record Creation, and/or Record Updates
- Form-Specific Notifications → Limit Record notifications to specific Forms
- Field-Level Notifications → Select specific Fields within Forms for notifications
1. All Notifications
To quickly turn notifications on or off:
-
Select Manage notifications here → or click the Settings icon
-
Turn all notifications on or off by flipping the switch between Enabled ↔ Paused

2. Notification Type
To turn Chat, Record Creation, or Record Update notifications on or off:
-
In your Settings, flip the switches on or off → to the 3 options

3. Form-Specific Notifications
To select specific Record Creation or Record Update Forms for notifications:
-
Pick the Form Drop-down icon → and select a Form

Add more Forms if you like

4. Field-Level Notifications
-
Click Select Notifications
-
Pick the specific Fields you would like to have pinged → and select Close

-
Add additional Forms and Field filters → by tapping Select a form
-
Delete any notification filters that you find annoying

Chat in the Mobile App
To use SwitchBase Chat on your Mobile App:
-
Look for the Orange notifications
-
Click the Chat icon → located at the bottom of the screen
-
Tap the Channel you wish to open

-
Read your messages `
-
Respond → and click Send

-
Lather → rinse → repeat

- Visit Customize your Notifications and see how you can pause your Chat notifications!
Copy a Message
To copy a message:
-
Long press on your target message → and click the Copy icon

-
Paste wherever!
Edit a Message
To Edit a chat:
-
Long press on your target chat → and click the Edit icon

-
Make your correction → and click Save

Delete a Message
To delete one of your messages:
-
Long press on your target message → and click the Delete icon

Verify by clicking Delete
Pin your Chats
To Pin a selection of Chat Channels:
-
Long press a target Dashboard → and tap Pin Chat

Unpin by Long pressing the target Dashboard → and tap Unpin Chat

About the Inbox
Click the Inbox button to open your Active SMS message inbox,

Activate-Deactivate SMS
To turn your SMS service on and off:
-
Open your Inbox
-
Switch to Active → to start receiving messages
- Toggle to Inactive → and temporarily turn off SMS
Toolbar Filters
Take a quick look at the Toolbar buttons.

- A. Active threads → display active messages awaiting a response
- B. Starred threads → star threads to be remembered
- C. Closed threads → show your Closed or hidden threads
- D. All threads → show all new, starred, and hidden threads

- Use Inbox & Thread Filters → organize, filter, and rename conversations in your Inbox to reduce noise
- Apply Thread Archival Actions → star, retire, or mark threads as unread
- Rename threads → to add a name or a descriptive title
- Mark as Unread → to archive for possible later action
- Close/ Reopen threads → to close threads to clear your list
- Star threads → to mark key threads with a Star to spot and filter easily
- Send Quick Replies → ex. open the Replies Library by clicking the Chevron, and pick from the list
- Quick Replies → select the text boxes to Edit or Delete Replies
- + Add Quick Reply button → click to Add a New Quick Reply
- Inactive Message → the reply sent when the Inbox is switched off
- Edit the Inactive Message that is sent whenever the Inbox has been Paused or Deactivated → ex. a text message arrives after hours
Troubleshoot Your App Version
The SwitchBase Mobile App updates automatically each time you restart.
The Version Number will be updated at the bottom of your Sign In screen, as seen here.

Check Your Version inside Switchbase
Verify your current version inside SwitchBase with these steps:
-
Tap the Home icon at the bottom of your screen
-
Tap the Menu (Waffle) icon at the top of your screen

-
Scroll to the bottom of your Organization list
-
Locate the Version Number under the Account Settings button → ex. 5.0.1.8

- Major updates are released occasionally that may require a manual reload of the SwitchBase Mobile app
- On these occasions, you will receive a notification confirming that SwitchBase has been updated
- Simply download again from the Apple Store or the Google Play site
