Shortcuts streamline input by splitting parent forms into specialized sub-forms.

For example, an Event form can be split into recurring Basketball, Hockey, and Concert events → each with their own unique fields and Event Markers.

Create Shortcuts

Wet spills are an all-too-common issue. To speed up submissions so you don't drown in soda and beer, we'll rip out a simple Wet Spill Shortcut from its parent Issue Form.

Think of it this way. You're going to pre-fill the obvious defaults for Wet Spills, so you: - Will never have to click or select repetitive Fields again! - Can hide Fields that don't need to appear for a Wet Spill Record - May create a Public Link that anyone can use to submit a typical Wet Spill — talk about efficiency!

To craft a Shortcut:

  1. Open your target Form from the Admin section→ ex. Issue → and click Edit

  2. Select Shortcuts

  3. Click Create Shortcut

  4. Select and enter your 'default' Shortcut choices:

    • A. Shortcut Nameex. Report Wet Spill
    • B. Issue → ex. Wet Spill
    • C. Issue Statusex. Open
    • D. Department → ex. Custodial

  5. Click ✓ Save Changes

  6. Return to your Dashboard → click the + Blue "Create Record" button → and select your Shortcut from the list → ex. Report Wet Spill

Hide Fields in Shortcuts

Shortcuts are streamlined versions of parent Forms. Streamlining can be facilitated by hiding fields in the parent Form if they don't apply to a Shortcut version of the Form.

  • Just click the little Eye/Hide button for any Field, and voila, it won't show up in the Shortcut!

In this example, Location is visible, but Description and Person Dispached have been removed from view:

To hide fields in an existing Shortcut:

  1. Open your Shortcut's parent Form → and click Shortcuts

  2. Open your Shortcut by clicking Edit

  3. Click the Eye/Hide icons to grey out specific Fields. For example:

    • Person Reporting
    • Person Dispached
    • Description

  4. Click ✓ Save Changes

  5. Return to your Dashboard → click the + Blue "Create Record" button → and select your updated Shortcut from the list → ex. Report Wet Spill

    Give it a spin to see if it looks the way you want it to be!

reverse the process
  • If you need to restore a Field, click its Eye/Hide icon again
  • Some Fields will be hidden automatically for you, and can't be undone
    • For instance, the Event Field in the above image
    • Why? You don't want people changing the Events accidently from an Issue Shortcut

Create an Event Shortcut with Event Markers

In this example, we'll break out a Basketball Shortcut from an Event Form and add in all of the related Event Markers. This way, this lengthy list of Markers will be entered only once for all future recurring events!

  1. Open Forms from the Admin section → and click Edit from the targeted tile → ex. Event

  2. Select Shortcuts

  3. Click Create Shortcut

  4. Enter your Shortcut Nameex. Basketball

  5. Select the Event Typeex. Basketball

  6. Add your Event markersby clicking + Add Marker → and entering the following markers for Basketball - A. Setup (Pre-door) - B. Doors Open - C. 1st Quarter - D. 2nd Quarter - E. Halftime - F. 3rd Quarter - G. 4th Quarter - H. Overtime - I. Egress - J. Doors Closed

  7. Click ✓ Save Changes

Delete Shortcuts

What if a Shortcut becomes obsolete or you find a duplicate? To remove a Shortcut from your list:

  1. Open Forms from the Admin section → and click Edit on the Form's tile where the offending Shortcut is hiding

  2. Click Shortcuts

  3. Click Edit on the offending Shortcut → ex. duplicate Concert Shortcut

  4. Hit the red Trash icon

  5. Confirm the Deletion → by clicking Delete

  6. Switch back to your Dashboard → click the + Blue Create Record button → and review your edited list of Shortcuts
