About Organization Settings

Organization Settings will let you:

  • Rename your Organization

  • Find your Short Code → as explained in the next section

Don't see 'Organization' in the menu?
  • Access to Organization Settings is limited by Role-description
  • If you need access to Organization Settings, contact your Admin or a SwitchBase Representative

Rename an Organization

To change the name of your Organization:

  1. Click the Admin menu

  2. Pick Organization → and click in the name box

  2. Select Save Changes

About Short Codes

Choose carefully
  • Your Short Code is a fixed part of your account → a permanent ID that cannot be changed
  • The SwitchBase Team will configure and provide it for your Public Links and Managed Accounts
  • Look up your existing Short Code

What's a Short Code?

Short Codes are human-readable forms of an organization's ID within a URL, such as:

  • t-arena
  • metlife
  • utahutes
  • celebrity-theatre
  • our-venue

Unique to every organization in SwitchBase, Short Codes serve several essential purposes:

  • Public Links: Anonymous Public Links launch Shortcut versions of Forms that can be distributed down multiple channels → ex. SMS, QR codes, NFC, social media, email, and more

  • Managed Accounts & Device Logins: Short Codes enable secure login to dedicated computers and mobile devices without requiring individual email addresses. The subsequent 'Organization Codes' enhance security by allowing these devices to be tightly locked down

Rules for creating Short Codes

There are a few additional rules that you'll need to follow to avoid a glaring error message:

They can contain only:

  • lowercase letters
  • numbers
  • underscores (_)
  • hyphens (-)

Find your Short Code

To find your Short Code:

  1. Open the Organization section from the Admin menu

  2. Spot your Short Code

    • If no Short Code exists, contact your SwitchBase Representative for help setting it up short Code spot

Create a Short Code

Here's a quick peek into how a SwitchBase Account Representative will create your Short Code:

  1. Click open the Admin menu → and pick Organization

  2. Click in the Short Code box

  3. Enter a new Short Code → and heed the warning!

  4. Select ✓ Save Changes

to abandon the change . . .
  • Either:
    • Click out to another part of your Organization without saving
    • Click Discard Changes

Add Managed, Shared Device Credentials

Managed Account credentials provide shared access to computers or tablets without requiring individual user logins. They create a device-specific identity that allows authorized personnel to start work immediately.

  • No Individual Logins → Users may bypass individual credentials
  • Open Access → any appointed team member can quickly use the device
  • Group-Based Security → Admins control data access via Group permissions
Prepare your Group's Resources

To create your Managed Account credentials:

  1. Pick Users → from the Admin menu

  2. Make sure a Short Code appears

    • If no Short Code exists, contact your SwitchBase Representative for help

3 Click + Create Managed Account

  1. Enter the following:

    • A. Username → with no capital letters or special characters → except - and _

    • B. Display Name → whatever works!

    • C. Password → as prompted

    • D. Optional: You can select a Role → but it will usually be left as None

    • E. Groups → pick the Group (or Groups) that hosts the Resources your device Users need

  2. Select Create Managed Account

Add as many managed accounts as you may need

Log into a Managed Device

To sign into a device with Managed Account credentials:

  1. Click Log in with organization code →

  2. Enter the following:

    • A. Short Code → enter your Organization's Short Code without capital letters → ex. t-events

    • B. Usernameex. guest-services

    • C. Password

    • D. Click Sign In

  3. Accept and enter your Organization

Look up Managed Account credentials

To look up your Managed Account credentials → or to change the password or Remove the account:

  1. Pick Users → from the Admin menu

  2. Select a Managed Account from the list
